Overview

  • Project:  ERE Media Conference Production
  • Client:  ERE Media
  • Category: AV Production / Livestream Services
  • Relationship: Ongoing since 2021
  • Location: Nationwide (USA)

ERE Media produces some of the most respected national conferences in the recruiting and HR industry, including SourceCon, Talent 42, and ERE Innovation Summit. As hybridevents became the standard format, the production complexity multiplied fast.Multi-room AV setups, tight run-of-show schedules, inconsistent venueinfrastructure, and remote audiences expecting broadcast-quality streams all landed on the same plate.

ERE needed more than a crew that shows up on show day. They needed a production partner embeddedfrom planning through final cue call.

The Challenge

Running national conferences is hard enough. Running them as hybrid events is a different problem entirely.

According to industry data, hybrid formats can increase attendance by up to 50% and boost engagement by as much as 80% compared to in-person-only events. But those gains come with real production risk. You're managing two audiences simultaneously, and each one has a completely different experience threshold. In-room attendees feel every audio drop and lighting failure. Remote attendees will click away the moment the stream degrades.

ERE's specific challenges looked like this:

  • Inconsistent venues: Each conference moved to a different city, which meant unfamiliar rooms, untested AV infrastructure, and no guarantee of reliable house systems.
  • Multi-room complexity: Sessions ran in parallel across multiple spaces, each requiring dedicated AV coverage, audio management, and camera operation.
  • Remote audience expectations: Paid virtual attendees expected broadcast-quality production, not a laptop-on-a-tripod stream.
  • Budget pressure: Every dollar spent on last-minute gear rentals or reactive troubleshooting was a dollar that didn't serve the program.
  • Vendor risk: Relying on a different AV crew each year meant rebuilding trust, relearning the show format, and absorbing the same mistakes repeatedly.

The solution wasn't more gear. It was earlier, smarter involvement.

Our Role

Since 2021, JSBVideo has served as AV consulting and production partner for ERE Media's flagship events. Our involvement starts weeks before anyone sets foot in the venue.

Pre-Event Consulting & System Design

Before show day, we review the venue layout, assess the house AV infrastructure, and design a system that fits both the program format and the budget. That means identifying gaps early, sourcing the right equipment, negotiating rental pricing, and building a run-of-show that accounts for real technical constraints rather than ideal ones.

This phase alone eliminates the most common and costly surprises. Venue limitations that would derail setup on day one get resolved in planning. Livestream routing that would fail under load gets tested before the first speaker walks on stage.

On-Site Production & Technical Direction

On show days, we manage full AV setup across all conference spaces, operate multi-camera broadcasts, handle real-time switching and technical direction, and provide hands-on speaker support from green room to stage. Our livestream production integrates directly with RingCentral, ensuring remote attendees receive a clean, professional feed with no relay lag or platform friction.

We staff every event with the same trusted crew. That consistency matters more than most clients expect. A crew that knows the show, knows the speakers, and knows the client's standards doesn't need to be managed. They just execute.

Post-Event Delivery

After each conference, we handle post-event video delivery so ERE can extend the value of their content beyond the live dates. Session recordings, highlight cuts, and on-demand assets give remote attendees continued access and give ERE a library of content that keeps working after the event closes.

Results

Over four years and dozens of ERE Media conferences, the outcomes are consistent enough to speak plainly.

What ERE Gets From This Partnership

  • Consistent show quality: Same production standards across different cities and venues
  • Reduced AV costs: Smarter equipment sourcing and rental negotiation cuts reactive spend
  • Faster setup: Pre-planned system designs mean less time troubleshooting on load-in day
  • Lower show-day risk: Venue and technical issues caught in planning, not during keynotes
  • Expanded remote reach: Hundreds of paid virtual attendees per event with broadcast-quality delivery
  • Reliable crew continuity: Same operators, same standards, same trust - every show

The compounding effect is real. Each year we work with ERE, the show runs more smoothly than the last. The crew knows the format. We know the client's standards. And ERE's team doesn't have to spend mental energy managing the AV — they can focus on their program.

That's the difference between a production vendor and a production partner.

We continue to support ERE Media's conferences into 2025 and beyond. For any conference production team managing hybrid events at scale, the biggest ROI isn't in the gear. It's in having one team that knows your show before show day arrives.
